
A vendor questionnaire is the structured survey a firm distributes to participants in an evaluation, capturing the capability and strategy data that feeds the scoring.
Questionnaires are long, deadline-bound and specific to the evaluation's published criteria. Responses become the primary evidence of record for scoring, supplemented by demos, reference conversations and the analyst's own market knowledge.
Vendor questionnaire vs. RFI response
Both are long structured forms, frequently written by the same team from the same source material.
The difference is destination. An RFI response informs one buyer's purchase decision and is read once. A vendor questionnaire feeds published research that shapes many buyers' decisions and remains citable for a year or more.
Why it matters
For most evaluations this document, not the briefing, is the primary evidence of record. It is also usually the longest-lead, least-resourced artifact in the process — assigned late, drafted by whoever has capacity, and reviewed under deadline.
The mismatch between how much the questionnaire determines and how little attention it receives is one of the most reliable patterns in the discipline.
